Booking Terms & Conditions

These Terms & Conditions apply to all bookings made with Freedom Yoga and Retreats Limited (“we”, “us”, “our”).
By booking a retreat with us, you agree to be bound by these Terms & Conditions.

We organise yoga retreats in the UK and abroad which include accommodation and additional travel services and are therefore classed as package travel under the Package Travel and Linked Travel Arrangements Regulations 2018 (“PTRs”).
2. The Package
Each retreat package includes the services stated on the retreat webpage and your booking confirmation, which may include:
Accommodation
Yoga classes and wellness activities
Internal transfers during the retreat
Meals as stated
Other activities as expressly described
The package does not include:
Flights or travel to and from the retreat destination
Travel insurance
Personal expenses
Optional excursions or treatments not listed as included
Any service not explicitly listed as included forms no part of the package.
This package does not include international flights, which must be arranged independently by you.
3. Booking & Contract
A binding contract is formed when we issue written booking confirmation and receive the required deposit or full payment.
The person making the booking (“lead name”) accepts these Terms on behalf of all participants.
You must be 18 years or over to make a booking.
It is your responsibility to ensure that all personal details provided are accurate.
4. Payment
A non-refundable deposit is required at the time of booking.
The balance must be paid by the date stated in your booking confirmation.
Failure to pay the balance by the due date may result in cancellation of your booking and loss of the deposit.
Prices are quoted in GBP and include only what is expressly stated.
5. Travel Insurance
You are responsible for arranging appropriate travel insurance, including cover for:
Yoga and physical activity
Medical treatment and emergency repatriation
Cancellation or curtailment
For overseas retreats, your insurance should cover the destination and activities involved.
We strongly recommend insurance is taken out at the time of booking.
6. Changes by You
Requests to change your booking must be made in writing.
We will try to accommodate changes but cannot guarantee availability.
An administration fee and any additional supplier costs may apply.
Name changes may be permitted subject to supplier approval and associated costs.
7. Cancellation by You
Cancellation must be made in writing. The following charges apply:
More than 180 days before the retreat start date: deposit retained
180–91 days before the retreat start date: 50% of the total package price
90 days or less before the retreat start date or no-show: 100% of the total package price
Cancellation charges reflect genuine estimated costs and losses incurred by us.
We strongly recommend comprehensive travel insurance to cover cancellation.
8. Changes or Cancellation by Us
We may make changes to or cancel a retreat due to circumstances beyond our control, including (but not limited to):
Insufficient participant numbers
Venue or supplier issues
Illness of instructors or key personnel
Safety concerns or force majeure
Significant Changes
If we are required to make a significant change to an essential feature of the package, we will notify you as soon as reasonably possible and offer you the choice of:
accepting the proposed change,
accepting an alternative package (where available), or
cancelling the booking and receiving a full refund of all payments made to us.
Cancellation by Us
If we cancel the retreat, you will receive a full refund of all monies paid to us.
We are not responsible for costs you incur independently (such as flights or insurance).
9. Unavoidable and Extraordinary Circumstances
You may cancel the package without paying cancellation charges where unavoidable and extraordinary circumstances occur at the destination or its immediate vicinity which significantly affect the performance of the package or transport to the destination, in accordance with the Package Travel Regulations 2018.
10. Your Rights Under Package Travel Regulations
As this booking is a package, you have statutory rights under the Package Travel Regulations 2018, including:
Our responsibility for the proper performance of all travel services included in the package
A right to a refund in certain circumstances
Access to assistance if you experience difficulties during the retreat

11. Insolvency Protection
We provide financial protection for your package in accordance with the Package Travel Regulations 2018.
Details of our Insolvency protection can be provided in request.
12. Health, Fitness & Participation
Yoga and retreat activities are physical in nature.
By booking, you confirm that you are medically fit to participate.
You must disclose any relevant medical conditions, injuries, pregnancy or mental health concerns before travel.
Participation is at your own risk.
We reserve the right to refuse participation in any activity if we believe it is unsafe.
13. Responsibility & Assumption of Risk
You acknowledge that participation in yoga and retreat activities carries inherent risks.
Freedom Yoga and Retreats Limited, its instructors, staff and partners shall not be liable for injury, illness, loss or damage except where caused by negligence or breach of legal duty.
Nothing in these Terms limits liability for death or personal injury caused by negligence or any liability that cannot be excluded under UK law.
14. Behaviour & Conduct
We expect respectful behaviour towards instructors, staff, venues and other guests.
We reserve the right to remove any participant whose behaviour is disruptive, unsafe or inappropriate, without refund.
15. Accommodation & Venues
Accommodation is provided by third-party venues.
While we select venues carefully, we are not responsible for the acts or omissions of venue owners or suppliers beyond our legal obligations.
Any damage caused by you must be paid for by you directly.
16. Travel Abroad
For retreats outside the UK:
You are responsible for ensuring you meet passport, visa and entry requirements.
You must comply with local laws and customs.
We are not responsible for delays or disruptions caused by airlines, border authorities or local conditions.
17. Assistance During the Retreat
If you experience difficulties during the retreat, we will provide appropriate assistance, including information on local health services and practical support where reasonably possible.
18. Photography & Marketing
Photographs or videos may be taken during the retreat for marketing purposes.
You consent unless you notify us in writing before the retreat.
19. Data Protection
Personal data is processed in accordance with UK GDPR.

20. Governing Law
These Terms are governed by English law and subject to the exclusive jurisdiction of the courts of England and Wales.
21. Acceptance of Terms
By booking a retreat with Freedom Yoga and Retreats Limited, you confirm that you have read, understood and agreed to these Terms & Conditions.
